The items for discussion at the First Meeting must include :
- Election of Officers ( President, Secretaries, Treasurer, Inspectors)
- To read and sign the Management Plan (Plan of Management, Appointment of Manager,
- At the end of the Meeting the owners will sign the Management Plan and The Site Book. (The Site Book contains all the relevant information and decisions pertaining to the Site.)
- Adoptation of the management company.
IMPORTANT POINTS
For the beginning:
The Signed Management Plan has to be collected from Tapu Office (Title Deed Office)
The Site Book must be confirmed and notarized by a Notary.
After the first meeting:
Copies of the signature of the President must be notarized.
With the notarized copies of the President’s signature and the notarized Site Book, the President will go to the tax office and get a tax number for the Site.
With the tax number and notarized signatures, the President will have power to open a bank account on Site’s name.

You are cordially invited to The First Meeting of Example Sitesi to set up a Board of Management.
The Meeting will take place at the pool in Example Sitesi, on ……./……./2009, at 3 pm.
If a sufficient number can not attend on the above date a second Meeting will take place on the ……./…….2009 and a quorum will not apply.

I further authorise the above named to represent me at the subsequent Meeting which might take place if the numbers at the first Meeting are insufficient to legally allow the conduct of the first meeting.
